Coventry Volunteer Fire Association Board of Directors Meeting Minutes July 3, 2011 Meeting called to order by L.Bragdon 19:00 hours Members Present: L.Bragdon, C.Grover, J.M.Carilli, K.Boutin, T.Christensen, E.Proulx, R.Engler, T.Johnson, L.Smith Secretaries Report: Posted Motion: J.M.Carilli 2nd E.Proulx to accept Secretaries Report Motion: Carried Treasurer’s Report: No bank statements in yet Beginning Balance:$41,503.75 Ending Balance: $22,453.96 Motion: J.M.Carilli 2nd E.Proulx to transfer $ 7,477.64 to last years budget Motion: Carried Motion: J.M.Carilli 2nd E.Proulx to reimburse $4,143.00 for June mileage-last mileage payment, new plan starts July 1, 2011 Motion:Carried Assistant Treasurer’s Report: None R.Engler: Questioned why there was no depreciation fund for all other apparatus Discussion Followed Chief’s Report: Deputy Chief will give Secretary list of members points and what members have gear Board of Fire Officer’s Minutes: Posted Committee Reports: 75th Anniversary: flyers will be distributed around lake associations, as well as posted on Community Boards around town Discussion on 75th Anniversary Motion: J.M.Carilli 2nd R.Engler to give Anniversary Committee $ 3,000.00 to finish paying the rest of expenses for Anniversary celebration to be paid for out of CAG Motion: Carried Members with a special diet due to health reasons or that are vegetarians please see the Chief we will try to accommodate your needs for the carnival Communications: Thank You letter from Ryan Sullivan for being awarded $ 250.00 George Savoie Memorial Scholarship Membership Meeting Minutes: Posted Old Business: Estimate for S308 repairs Motion: L.Bragdon 2nd L.Smith to pay for repairs to S308 out of CAG in the amount of $ 1,730.80 Motion: Carried L.Bragdon: per ruling by Parliamentarian R.Aubin, A.Nardi can be Chief Engineer and Fire Police Lieutenant at the same time, as one is an appointed position and the other is an elected position L.Bragdon: R.Aubin and A.Proczek are both Parliamentarian’s of CVFA, will ask that at least one of them are at meetings, in case of questions New Business: Motion: L.Smith 2nd T.Johnson to replenish the George Savoie Memorial Scholarship with $ 1,000.00 to be paid for out of CAG, and that this be added to the budget next year to now become an annual expenditure. Motion: Carried Motion: J.M.Carilli 2nd L.Smith to purchase a smoking shelter and 3 smoker’s cease fire at a cost of $3,400.00 + shipping and $1,400.00 to have concrete pad installed Discussion Followed Motion: J.M.Carilli2nd K.Boutin to table matter until next month, T.Christensen will be in charge of getting exact cost of all purchases including building permits from the town. YES-7 Abstention-1 Motion: Carried T.Johnson: 56 members still haven’t filled out W-4’s , would like members to send a letter saying they are opting out of the town mileage incentive plan if that is what they chosen to do. R.Engler; lines in the parking lot need to be repainted L.Bragdon: will look into it. Motion: J.M.Carilli 2nd R.Engler to replace servers for the computer system the current ones are 11 years old, at a cost of $ 3,400.80 to Taber Solutions to be paid for out of Computer. President to review current contract with Taber Solutions to see if it needs to be changed, new contract will include commitment of 10 service hours per month. IT person present to answer any questions the Board has.
